The Business Operations Coordinator will be responsible for the coordination and implementation of business operations functions by partnering with internal and external partners to manage and implement projects and programs. This position requires an individual who can balance and prioritize a wide array of projects and company needs, be a diligent and resourceful problem-solver, and be able to wear many hats. You are excellent at coordinating schedules and affairs, organized, methodical, detail-oriented, and able to move projects forward. This position plays a critical role in supporting the ongoing growth of a high-performing organization and ensures a productive business environment.

Essential Functions & Responsibilities:

The essential functions and responsibilities for this position include, but are not limited to, the following.

Business Administration

  • Manage company mail and packages through our traveling mailbox, company lockboxes, and onsite checks monthly
  • Collect and distribute office mail and packages to a distributed workforce
  • Manage general office phone reception using a VOIP system (Zoom)
  • Work with property management on any maintenance issues at Office
  • Support on-site visits to Company managed office space(s)
  • Supporting remote workstations and units, new location setup or co-working arrangements
  • Provide recommendations and suggestions for operational improvements
  • Support ongoing business expansion programs
  • Create and send care packages to employees and customers
  • Support ongoing operations projects
  • Support other departments in ongoing cross-functional projects
  • Provide back-up support to IT department as needed

Executive Team Support

  • Support executive team with meeting scheduling and managing calendars
  • May assist in preparations of meetings and travel arrangements
  • Support Board of Director travel and reimbursements


  • Organize and maintain the Company’s policy and procedures for Employees.

Risk & Compliance

  • Manage Insurance renewals, insurance audits, and questionaries
  • Support Legal and Customers with insurance verification and documentation
  • Support Legal with customer documentation regarding our good standing
  • Engage and support customer COI renewals with our Insurance Vendors
  • Support Business Questionnaires from vendors and customers
  • Maintain GDPR renewals with the BBB and Data Privacy Framework
  • Manage the Company’s sub-processor list for our website in compliance with GDPR


  • Project manage the company’s procurement request processing with internal and external stakeholders
  • Manage our Purchase Order workflow in Netsuite
  • Coordinate process and program improvements with internal stakeholders

Event Coordination

  • Take full ownership of MSR events
  • Organize agenda and coordinate all event logistics
  • Secure space, travel, and accommodations for team events and gatherings
  • Supporting in estimating costs and creating event concepts for business needs
  • Create event proposals with anticipated timelines, to-dos, and budget predictions
  • Manage travel and accommodations

Education & Experience:

  • 2-5 years in a similar role and/or customer service position
  • A combination of professional or educational experience (whether formal or informal) that affords you with the knowledge, skills, and abilities above
  • Excellent interpersonal skills to build strong relationships with colleagues and vendors
  • Must be able to visit the office San Diego, CA at least once a month
  • Ability to travel to company events to support onsite logistics (2-4 times a year)
  • Strong project management skills
  • Must be detail-oriented

Supervisory Responsibility:

This position will be responsible for overseeing vendors, consultants, and service providers of the company. There are no direct reports.

Compensation Range:

  • $74,514 to $91,072+ DOE
