About this Role:
We are looking for a Design Procurement Specialist to join our Home Operations team and partner with our Lead Designer on the purchase, delivery, and installation of FF&E for our homes. This person will be the champion of the onboarding process, ensuring everything is ordered, placed, and ready for our owners. The ideal candidate will thrive in a fast-paced and ambiguous environment, leaning in to their ability to stay organized and problem solve in any situation.
What You'll Do:
- Procure FF&E and OS&E for high-end residential homes, as specced by our internal Design and Sourcing teams
- Prepare and manage purchase orders, track orders and deliveries, and ensure items are received in accordance with SLAs and project timelines
- Work with vendors to resolve issues while monitoring and evaluating vendor performance on costs and quality of goods received / services purchased
- Coordinate with logistics partners to anticipate item arrivals and schedule expected deliveries
- Oversee order changes, cancellations, returns; respond to internal and external inquiries about order status
- Keep meticulous records and maintain a zero defect mentality; conduct regular audits to ensure data integrity
- Follow standard operating procedures (SOPs) and ensure compliance of purchasing processes with internal standards and financial / legal requirements
- Proactively identify process changes to improve efficiency and performance; revise SOPs and support change management efforts
- Maintain up-to-date vendor, pricing, and lead time information in Pacaso’s internal systems
- Monitor and analyze stock levels to ensure optimal product management
- Collaborate with Design, Sourcing, Home Operations, Onboarding, and Accounting to anticipate needs and deliver an incredible owner experience
About You:
- 2+ years of purchasing, procurement, or related experience; residential FF&E and OS&E procurement experience preferred
- Demonstrated experience with design and procurement systems such as Houzz, Airtable, NetSuite, Salesforce, and Order.co
- Strong ability to adapt and lead with solutions in a fast-paced, changing environment; growth-stage startup experience preferred
- Knowledge of end-to-end procurement processes and best practices around vendor management, with a focus on cost optimization and quality
- Exceptional attention to detail and strong sense of ownership and accountability; you never let anything slip through the cracks
- Excellent communication skills, maturity, and professionalism; you love collaborating with cross-functional team members and external stakeholders to get the job done
- Strong organizational skills to effectively manage competing priorities and hit deadlines
- Analytical, systems mindset; you’re comfortable with data and pay attention to both the overarching system as well as discrete tasks / activities within the system
